While most hospitals and clinics are moving to online patient records, there are many other documents that need to be archived and quickly located – things like lease documents, personnel files, maintenance records and so on.
The University of Washington Medical Records department has racks and racks of floor to ceiling file boxes that contain these documents. To catalog, archive and locate them, UW chose CheckMate Document Tracking.
One of the key features of the system for UW is ease of use – many of their employees use English as a second language, so the software needs to be intuitive. Another key is the ability to store a document in an unlimited “multi-tier” location. What this means is that a document can be located by area/shelf/ pallet/box/file – even more levels if needed!
UW has been using this system for over 10 years – a tribute to the solid architecture of the software and the flexibility of the application.
